Calendar Settings

In the Calendar Settings, you manage your calendars, sharing, connections to external sources, and subscription URLs for other calendar programs.

You open the Calendar Settings from the button at the bottom of the sidebar.

Calendar Settings with the My calendars and Shared calendars groups.

The dialog shows your calendars in the My calendars and Shared calendars groups. Through the context menu on each calendar and through New, you manage calendars, shares, and external connections.

Calendar Groups

The Calendar application groups calendars by their relation to you:

  • My calendars - your personal calendar and calendars you manage yourself
  • Shared calendars - calendars shared with you by another user or group
  • Hidden calendars - calendars that are available but currently hidden from the calendar view

Every user has a personal calendar. It is created automatically and is intended for private appointments.

Managing Calendars

In the settings dialog, you can create a new calendar, edit calendar properties, delete calendars, and change whether notifications are enabled by default for you.

Only calendars for which you have Administrator permission can be changed in the settings. Read-only calendars can be shown in the calendar view but can not be modified.

Shares

You can share calendars with users and groups. The following permission levels are available:

  • Read - the calendar and its appointments are visible, but appointments can not be changed
  • Write - appointments can be created, edited, moved, and deleted
  • Administrator - the calendar can be edited, shared, synchronized, and deleted

Note: A shared calendar must keep at least one administrator. If a change would remove your own access to a calendar, the Calendar application asks for confirmation.

External Calendars

You can connect calendars from external sources. The available providers depend on the installed and configured plugins. The following calendar sources can be available:

  • ICS - connects an external calendar through an ICS or iCal URL. Appointments are imported into the Calendar application and shown there. The calendar is read-only. Appointments can not be changed in the Calendar application.
  • CalDAV - connects to an external CalDAV calendar. Appointments are synchronized. If you have write access on the external calendar, you can create, edit, and delete appointments in the Calendar application as well.
  • Google - connects to a Google calendar through OAuth. Appointments are synchronized. Access depends on the permissions of your Google account, and the Google Calendar API must be enabled in the Cloud project.
  • Outlook - connects to an Outlook calendar through OAuth. Appointments are synchronized. Access depends on the Microsoft Graph permissions of the Entra ID application.

To add an external calendar:

  1. Open the Calendar Settings.
  2. Select New and choose External calendar.
  3. Select the provider type, for example ICS, CalDAV, Google, or Outlook.
  4. Enter the required connection details. For Google and Outlook, sign in with OAuth when prompted.
  5. Confirm the calendar name and synchronization options.

The external calendar appears in the calendar list after the connection is saved. Its appointments are loaded during the next synchronization.

Edit dialog for an external ICS calendar with URL, authentication, and synchronization interval.

In the edit dialog, you enter the connection details and set the name, color, and synchronization interval. For read-only ICS calendars, the Calendar application shows a notice that appointments can only be read, not changed. Through Shares, you can share the calendar with users and groups.

Note: For Google and Outlook, the corresponding OAuth connection must be configured in the Configuration application before the calendar can be added.

Note: For Google, enable the Google Calendar API in the Google Cloud project of the OAuth app. The connection to Google help describes this step. For Outlook, add the Microsoft Graph calendar permissions on the Entra ID app. The connection to Office 365 help describes this step.

Synchronization

External calendars show their synchronization status in the settings. The status indicates whether synchronization is running, when the calendar was last synchronized, or why synchronization failed.

The Synchronize now action starts synchronization for the selected external calendar. The Reset and reload events action clears the local synchronization state and reloads the appointments from the external source.

Context menu of a calendar with synchronization and URL actions.

Through the context menu on a calendar, you start synchronization, copy subscription URLs, or edit and delete calendars.

Using Calendars in Other Programs

Depending on the calendar and your permissions, you can copy a subscription URL from the context menu and add your calendar to another calendar program, for example Outlook, Google Calendar, or Apple Calendar.

The following URL types are available:

  • Copy CalDAV URL - connects the calendar as a CalDAV account in a supporting calendar program. You can read appointments and, if you have Write or Administrator permission on the calendar, create, edit, and delete appointments from the external program. External read-only calendars, for example imported ICS calendars, stay read-only through this URL as well. The external program authenticates with the same user account as the Calendar application.
  • Copy ICS URL - subscribes to the calendar as an ICS feed or downloads the calendar file once. Access is read-only. Appointments are visible in the external program but can not be changed there.
  • Copy WebCAL URL - connects the calendar when the external program expects a web calendar subscription. It provides the same read-only ICS feed as the ICS URL, formatted for programs that support web calendar subscriptions.

The available URL actions depend on the selected calendar and your permission. You need at least Read permission to copy a URL.
